Project methods

When working on any project no matter how small it is important that all expectations are met, we've have all worked in the industry long enough to know that sometimes dates slip, projects creep and we are all busy - focus is important as is following documents and making sure the project flow is good

Below is an outline of how we like to handle a project and the systems used

We use Monday.com to assist our project management, also all our internal database including BOMs during projects.

ORKA Group project process
  • The following process outlines how projects are handled within ORKA Group

    • ORKA Group quotation proposal created

    • Client to raise purchase order / any deposits per agreement

    • ORKA Group to kick off meeting to outline the project - An introduction to the team and an outline of the requirements

    • ORKA Group to produce a proposal for the client approval 

    • Client to provide information / data / products & samples as per the proposal requests

    • ORKA Group to deliver a web based project management and link client for file control and all project planning

    • As required / if required team meetings for status updates

    • ORKA Group to hold a design review before manufacturing. This may involve the client

    • ORKA Group to start production & purchasing

    • ORKA Group to hold FAT (Factory Acceptance Test)

      • This may use simulated client equipment

      • ORKA Group to raise 2nd invoice based on FAT and agreement

      • Client approval prior to delivery

    • ORKA Group to arrange and process delivery / install / commissioning

    • ORKA Group to deliver documentation and 3rd invoice as outlined below

Documentation
  • CE marking supplied electronically PDF and hard copy (UKCA as required however it is noted that the Government has raised to end UKCA and return to CE)

  • Proposal / specification of the machine in detail before design commences to outline details

  • Sign off drawing and design review prior to manufacturing

  • Timing plan

  • UKCA (UK only) / CE (ROW) {Non US} / UL508a, NFPA70 & 79 certificate conforming to machine standards

  • FMEA study if required. Project dependant

  • Operational manual

  • Spares list and consumables 

  • Backup of software including PLC scripting and any other calibration files electronically

  • Maintenance schedule

  • Data sheets of equipment

  • Fault finding manual

  • Sign off documents, FAT, build records

  • Install plan

  • Electrical and mechanical system drawings
